The Company
A busy and growing Mechanical and Electrical Building Services Consultancy based in London is looking to appoint a reliable and organised Part-Time Administrative Assistant.
The consultancy provides mechanical and electrical design services across a range of construction projects. The successful candidate will provide day-to-day administrative support to the directors, engineers and wider project team.
The Role
This is a varied position that will involve managing general office administration, supporting project-related tasks and assisting with invoicing and payment follow-ups.
The ideal candidate will be organised, confident communicating with clients and suppliers, and comfortable managing multiple tasks and deadlines.
Key Responsibilities
* Typing, formatting and sending emails, letters, reports and project documents
* Managing general email correspondence and responding to routine enquiries
* Chasing clients for outstanding information, approvals and payments
* Preparing, issuing and tracking client invoices
* Following up on overdue invoices and maintaining accurate payment records
* Liaising with clients, architects, contractors and other project consultants
* Assisting engineers with the preparation and formatting of reports and technical documents
* Setting up new projects and maintaining electronic project folders
* Updating project trackers, fee schedules, contact lists and spreadsheets
* Assisting with fee proposals, appointments and supporting documentation
* Processing purchase orders, expenses and supplier invoices
* Monitoring timesheets and assisting with monthly invoicing information
* Arranging meetings and managing diaries where required
* Taking meeting notes and distributing actions
* Maintaining accurate company and project records
* Providing general administrative support to the directors and engineering team
Skills and Experience
* Previous experience in an administrative, office support or accounts assistant role
* Strong written and verbal communication skills
* Confident using Microsoft Outlook, Word and Excel
* Excellent organisational skills and attention to detail
* Comfortable chasing outstanding actions and payments professionally
* Able to prioritise tasks and work independently
* A proactive and dependable approach
* Experience within an engineering, construction, architectural or professional consultancy would be beneficial but is not essential
Working Arrangements
The role will be based in the company’s London office for three days per week. The specific working days can be discussed with the successful candidate
