The Business & Opportunity:

A growing and acquisitive outsourcing services business have created a new requirement for a Finance and Operations Administrator so support their day-to day financial and operational coordination.

You’ll handle structured admin tasks to keep everything running smoothly behind the scenes: preparing and issuing client invoices and purchase orders, tracking payments, managing finance folders, liaising with accountants, and supporting team and IT administration.

This is a part-time remote role up to 20 hours per week, offering some flexibility, with slightly busier period around invoicing, payment runs, and month-end reporting. You will be based remotely from home and can choose the exact hours to work round what suits you best!

Initial contract length will be 6 months, with a chance of this being extended further.

Specific Requirement:

Finance & Banking Support

* Check and record weekly cash positions and reconcile received and paid invoices.

* Manage the finance mailbox and liaise with accountants on payments, reconciliations, and payroll coordination.

* File monthly bank statements and transaction screenshots for non-sterling purchases.

* Prepare and upload approved payment runs.

* Maintain accurate filing across all finance folders.

Purchase Orders & Supplier Invoices

* Create, issue, and reconcile purchase orders each month.

* Check and process supplier and contractor invoices, ensuring approvals and PO matching.

* Upload approved invoices to Dext and maintain organised storage.

* Track subscriptions, renewals, and direct debits.

* Share monthly PO overviews with the team and accountants.

Sales Invoicing & Client Coordination

* Prepare and issue client invoices each month, ensuring all approvals and POs are in place.

* Support client onboarding (VAT proofs, DUNS, statements).

* Track payments received, update payment forecasts, and send invoice reminders as needed.

* Maintain up-to-date client finance folders and contact lists.

Payroll Coordination

* Liaise with accountants and the finance director on payroll schedules and approvals (no payroll processing).

* File payroll documents, payslips, and P32 reports.

* Support onboarding and offboarding for payroll administration.

Operations & Team Support

* Manage NDAs and contracts using DocuSign and ensure proper filing.

* Coordinate onboarding and offboarding for associates, including IT access and document sharing.

* Support insurance renewals and compliance documentation.

* Maintain the team holiday tracker and organise monthly team huddles.

IT & Systems Coordination

* Liaise with the IT provider to manage new accounts, remove leavers, and reconcile licences.

* Manage shared mailboxes, email signatures, and laptop records.

* Keep data archive folders up to date for offboarded users.

Document Management

* Maintain tidy and consistent filing across Dropbox and Teams.

* File VAT receipts, sales and purchase invoices, payroll records, and insurance documents.

* Support wider filing and record-keeping as needed.

Ideal Skills & Experience:

Experience in an administrative, operations, or finance coordination role.

A good working knowledge of Xero accounting software.

Excellent organisation skills and strong attention to detail — you take pride in keeping things accurate and well-documented.

Confidence working independently and managing recurring tasks without close supervision.

Clear written and verbal communication, with the ability to follow up professionally with colleagues, suppliers, and accountants.

A methodical, process-driven approach — comfortable maintaining trackers, filing systems, and structured admin routines.

Proficiency in basic office software (Excel, Word, Outlook, Teams, Dropbox).

A proactive attitude — someone who notices when something needs doing and takes initiative to complete it.

Experience working in the Services industry will prove advantageous, but not a pre-requisite.

What’s on Offer:

* A starting salary of in the region of £29,000-£32,000 (Full Time Equivalent).
